Overview
The Administrative Assistant is the first point of contact for students, families, faculty, parish staff, and visitors. This individual ensures smooth day-to-day operations of the school office by managing communication, coordinating administrative tasks, and supporting the principal and staff. The Administrative Assistant embodies professionalism, confidentiality, hospitality, and a spirit of service. .
This is a full-time, 12-month position.

Responsibilities
Office Management & Communication
- Serve as the first point of contact in the school office, providing a welcoming and professional environment.
- Answer phones, greet visitors, and respond to inquiries with courtesy and efficiency.
- Manage incoming and outgoing mail, email, and school communications.
Maintain office supplies and ensure equipment is in good working order.
Administrative Support
- Provide administrative support to the principal, faculty, and staff.
- Prepare correspondence, reports, and documents as requested.
- Schedule appointments, meetings, and school events.
- Assist in organizing school records, files, and databases.
Student & Family Support
- Maintain student attendance and permanent records in accordance with Archdiocesan and state requirements.
- Coordinate communication between parents, faculty, and administration.
- Assist with registration, enrollment, and student files.
- Support the needs of students who come to the office during the school day.
Financial & Recordkeeping Duties
- Assist with tuition/fees, donations, and fundraising recordkeeping as assigned.
- Track invoices, purchase orders, and reimbursements in coordination with the bookkeeper or parish office.
- Maintain confidentiality in handling sensitive records and financial documents.
Event & School Support
- Assist with preparation and logistics for school events, liturgies, assemblies, and activities.
- Support faculty with copying, mailing, and clerical requests.
- Maintain the school calendar and coordinate with parish staff for shared facility use.

Skill Requirements
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred.
- Previous administrative or office experience, preferably in an educational or Catholic school setting.
- Strong communication, organizational, and interpersonal skills.
- Proficiency in Microsoft Office, Google Workspace, and general office technology.
- Ability to multitask, prioritize responsibilities, and maintain attention to detail.
- Commitment to the Catholic faith and ability to support and uphold the mission of Catholic education.
- Demonstrated discretion and confidentiality in handling sensitive information.
